You will find listed below the management services that are frequently requested regarding administration of property and residential ownership. Essentially we make a distinction between "basic services" and "additional services". The basic services that we provide as property administrators are covered by the contractually agreed administration fee, whilst additional services are invoiced separately. The assignment into the two categories is governed exclusively in accordance with your wishes when the contract is drawn up.
General property administration:
A. New tenancies
- Viewing with interested tenants
- Checking credit-worthiness before concluding the rental contract (nomadic tenants!)
- Creating a residence handover record
B. At the end of the rental
- Performing an orderly handover of the residence
- Identifying defects based on the residence handover record.
- Clearing the rent deposit
Commercial property administration
A. Ongoing administration
- Performing the property administration bookkeeping
- Operating the property taxation, wages and social security accountsOperating repair and maintenance backlog account
- Booking rental receipts, disbursements and all other banking transactions
- Handling payments
- Checking that invoices are justified and correct
- Invoicing the tenants with any additional costs
- Matching up the deposits against the additional costs
- Creating the profit and loss account for the owner

B. Rental
- Invoicing the basic rental, additional costs and rent deposit
- Calculating and implementing any desired increases in rental in accordance with the statutory rental regulation provisions

- Creation of the final invoice for additional costs when the contract comes to an end
Technical property administration
A. Ongoing administration
- Monitoring the physical condition of the building by regular inspections
- Creation of a repair and maintenance schedule
- Calculating the costs of the repair and modernisation measures
- Obtaining cost estimates
- Price negotiations, issuing instructions to proceed and monitoring the execution
- Appointment of a caretaker and other service staff as agreed, and monitoring their activities
- Concluding maintenance contracts and monitoring the work
B. Special measures
- Immediate response in emergencies such as broken pipes, flood, storm or fire damage
- Immediate reporting of damage to the insurers
- Clarification of responsibility for the damage (actions by tenants, neighbours or other third parties)
- Issuing instructions to proceed to repair the damage
- Performance of price negotiations and monitoring the execution
Property administration in cooperation with our legal attorneys
- Drawing up rental contracts
- Drawing up and monitoring a set of house rules
- Drawing up and monitoring cleaning schedules for the common-user areas
- Initiating legal proceedings against defaulting tenants
- Implementing increases in rental in accordance with the statutory rental regulation provisions
- Implementation of measures agreed as part of the rental contract (due dates for renovations, house rules etc.), where necessary initiating legal proceedings
Service and other matters
A. Administration
- Recording and archiving of all documents and correspondence with the authorities, insurance policies, maintenance contracts
- Holding file copies of drawings, inspection books, safety certificates etc.
- Drawing up rental contracts, service contracts etc. as required by the client
- Making copies and sending out documents
B. Advice
- Giving advice to the owner in the event of actions by the authorities, and giving advice and explanations of the most recent statutory provisions
- Implementing guarantees
